How to Update Your Excel Template for a new ESEF Reporting season

During your onboarding meeting you were provided with a fully tagged Excel template, which you will use when converting your annual report to ESEF.

This Excel template contains the figures for your most recent annual report and moving forward all you need to do is to update the template to fit your next annual financial report by following one of the two guides on this page:

Updating Your Template without Account/Mapping Changes

If you don’t have any changes to text in the accounts of your financial statements or the mapping, then you can simply follow the instructions below:

  1. Update the dates in your General Data Sheet:
    Start by navigating to the sheet titled “General data ESEF” and scroll down to the Dates section. Here you need to update the lines “Start date of reporting period 1” and “End date of reporting period 1”. The rest of the reporting periods will update automatically based on Period 1.

  2. Update the figures in the Primary Financial Statement sheets:
    First, copy and paste the values from Period 1 to Period 2. Remember to keep the calculations (the fields highlighted in green), as these contain sum-formulas needed to convert your files to a compliant ESEF report.



  3. Add the new figures in your Period 1 column:
    You need to ensure that the figures in the Excel exactly match the figures in the annual report. You also need to make sure that the fields highlighted in green remain unchanged, as they contain the sum-formulas needed to convert your files to ESEF.

    Note: It is sometimes necessary to add a rounding (+1 or -1) to a sum in order to match the figure in your report. A cell that contains a rounding will appear orange. When entering your new numbers you will be able to see whether a rounding is necessary or not, and to adjust the sum-formulas accordingly.


  4. Your Excel template is now ready for conversion:
    You can upload the Excel file by itself to make sure that there are no errors or inconsistencies in your Primary Financial Statements and in the calculations, and that everything has correctly been updated.
    Afterwards, you can upload the Excel along with your corresponding new PDF annual financial report, and do a more thorough check of the tags.

Updating Your Template with Account/Mapping Changes

If you need to make changes to either the mapping or to the text in the accounts of your template, then you simply need to follow the instructions below:

1. Update the dates in your General Data Sheet:
Start by navigating to the sheet titled “General data ESEF” and scroll down to the Dates section. Here you need to update the lines “Start date of reporting period 1” and “End date of reporting period 1”. The rest of the reporting periods will update automatically based on Period 1.

2.    Update the figures and lines in the Primary Financial Statement sheets:
First, copy and paste the values from Period 1 to Period 2. Remember to keep the calculations (the fields highlighted in green), as these contain sum-formulas needed to convert your files to a compliant ESEF report.
Then, you can add new lines by simply inserting a line in Excel. The simplified tags should then automatically update to include the new lines. You can always check the range of the simplified tag by double clicking on it and ensuring all relevant lines are included.

3.  If you want to change the text of one of your Financial Statements Line items (FSLI) you simply need to make the changes in the Excel template. 

4. Once you have made all the changes to your Excel template, send it to the ParsePort Professional Service Team (support@parseport.com) so that we can update your mappings accordingly.

5. We will let you know when the updates are complete on our side, and you will be ready to test your files with your latest report.
